For a small business that already keeps its books in Wave, Wave's own receipt scanning is the cheaper choice: the Receipts plan is $8 a month or $72 a year, and Wave Pro at $19 a month includes it. Expensify Collect costs $5 per member a month on an annual plan, and it only earns that price when several employees spend company money and need approvals and reimbursement. Neither tool extracts line items from a receipt, and Expensify does not list Wave among its direct accounting connections, so pairing the two means moving data by CSV.
That is the short answer. The rest of this page is the arithmetic and the edge cases, because the right pick depends less on features than on how many people in your business are holding receipts.

The billing basis is the line that decides everything. Wave charges the business once, however many receipts go through it. Expensify charges for each member who was active in the previous month. A sole proprietor pays Wave $8 or Expensify $5, which looks like a win for Expensify until you remember that the Expensify data still has to reach your Wave books. Add a second and third person and Expensify passes Wave quickly.

On price alone, Wave wins for every Wave customer with more than one person spending. Expensify only makes financial sense here if you need the things Wave does not do at all, which is the next section.
Is Expensify better than Wave?
For employee expenses, yes. For the books of a small business, no, because they are different products. Wave is accounting and invoicing software with receipt capture bolted on. Expensify is an expense management tool: an employee snaps a receipt, it lands on a report, a manager approves it, and the company reimburses the person who paid. Wave has no approval chain, no expense reports and no reimbursement workflow.

If your staff use their own cards and you pay them back every month, Expensify solves a real problem Wave cannot. If everyone spends on the business card and you just need receipts captured against those charges, Wave Receipts is the whole answer at $8.
Does Wave work with Expensify?
Not directly. Expensify connects natively to QuickBooks, Xero, NetSuite and Sage Intacct, and Wave is not on that list. The workable route is a CSV export from Expensify, reformatted so the columns and date format match what Wave accepts on a transaction upload. It works, but someone has to build the template and run the export every month, and the receipt images stay in Expensify unless you attach them in Wave by hand.
That handoff is the hidden cost of the pairing. If you already know you will need it, the comparison is not $5 against $8. It is $5 per member plus an hour or so a month of export work, against $8 for capture that already lives inside your ledger.
Is Wave receipt scanning free?
No. Wave Starter is free accounting software, but receipt scanning is not part of it. You can attach a receipt image to a transaction at no cost, which is storage. Having Wave read the receipt and create the expense needs the Receipts add on or Pro. Where both tools stop
Wave and Expensify are built for one receipt at a time, captured close to the moment of purchase. Two situations break that model.
Itemized receipts. A $412 supply run that mixes materials, a tool and break room snacks is three categories on one receipt. Wave books it as one transaction with one total, and Expensify returns one amount. Splitting it still means reading the paper and typing.
Backlogs. Six months of receipts in a drawer, or a year of PDFs from supplier portals, is a batch job. Pushing it through a phone capture flow one image at a time takes an afternoon per hundred receipts, and some scanned sheets hold several receipts on one page.
That is the gap ReceiptOCR fills for Wave users. You upload up to 50 files at once, from a phone browser or a desktop, and each receipt comes back with vendor, date, sales tax, total and every line item in its own row. The same CSV route helps when Wave cannot connect to your bank at all. Wave warns that not every financial institution is supported for automatic import, and the fallback is uploading transactions from a file. If the bank only gives you PDF statements, you can convert the PDF bank statement to a CSV first and upload that.

Expensify vs Wave FAQ
Can I use Expensify with Wave?
Yes, but only through files. Expensify does not offer a direct Wave connection, so you export expenses from Expensify as CSV, adjust the columns and dates to Wave's upload format, and import them. Receipt images stay in Expensify unless you attach them to the Wave transactions yourself.
Is Wave cheaper than Expensify?
For receipts, yes, as soon as more than one person spends. Wave charges $8 a month for the Receipts add on, or includes it in Pro at $19, regardless of headcount. Expensify Collect is $5 per active member a month on an annual plan, so three spenders already cost $15 a month.
Does Wave have expense reports?
No. Wave records expenses as transactions in the ledger and can capture receipts against them, but it has no expense report, approval or reimbursement workflow. Businesses that need employees to submit and get paid back for expenses usually add a separate tool such as Expensify.
