Where Receipt Capture Apps Fall Short for Bookkeeping

Most capture apps were designed for one person snapping one receipt at the register. That works until the receipts arrive as a shoebox, a scanned stack or a client email with forty attachments, and the books need more than a total.

One Receipt per File

Intuit states that each file sent to QuickBooks Receipt Capture should include only one receipt. A scanner sheet holding four receipts, or a PDF bundle from a supplier portal, has to be split by hand before it can be read.

Header Fields Only

Many capture tools stop at vendor, date and total. Hubdoc captures header level fields and Xero has said no further line item development is planned, so an itemized hardware store receipt still needs splitting by hand.

Priced by People or by Credits

Expensify and Zoho Expense charge per user and Dext sets a 5 user floor. AutoEntry charges in credits that cost more for invoices with line items. None of that maps cleanly onto a bookkeeper who simply has 600 receipts to get through.

If you already pay for QuickBooks Online or Xero and you capture one receipt at a time as you spend, the built in capture is effectively free and you may not need anything else. The gap shows up with volume, scanned sheets, itemized receipts and clients on different systems.

Seat priced expense tools are cheaper per receipt when a few employees each capture their own receipts, and we would rather say that than hide it. They are built for reimbursement and approvals. When one person is processing everyone else's receipts, the seat model stops being the right meter, and a page priced batch tool with line items and a file export fits the job better. At 2,500 receipts a month the Starter yearly cost drops to under a cent per receipt.

Receipt capture app or receipt capture software?

The two terms are used for the same job. An app usually means a phone camera flow for one receipt at a time. Software usually means a desktop or web tool that takes scans, PDFs and email attachments in bulk.
