Short answer: QuickBooks does not capture supplier invoices properly on its own. QuickBooks Online has Receipt Capture, which reads merchant, date and total from one image at a time, but it does not extract line items and it does not split sales tax into its own field. QuickBooks Desktop has no built-in OCR reader at all. So invoice capture for QuickBooks means adding a third party tool, and the feature that decides which one is line item extraction, not price.

Why QuickBooks users need a separate invoice capture tool

The built-in feature is genuinely useful for what it is. Snap a receipt, QuickBooks Online reads the merchant, the date and the total, and offers to match it to a bank transaction. For a coffee or a tank of gas that is the whole job.

Supplier invoices are a different shape of problem. A supplier invoice carries an invoice number you need for duplicate checking, a due date that drives your payment run, a purchase order reference, tax as its own figure, and a table of lines that each have to be coded to an account. Receipt Capture returns three of those. Intuit also applies practical limits that matter once volume goes up: one receipt per file, PDF, JPEG, JPG, GIF or PNG only, forwarded emails under 20MB, and HEIC images have to be converted before upload.

QuickBooks Desktop users have it harder still. There is no OCR reader in Desktop, so every supplier invoice either gets keyed by hand or arrives through an import file that something else produced.

What to look for in invoice capture software for QuickBooks

Three things decide this, and price is the last of them.

Line item extraction. Header fields are easy and everything gets them right. Extracting each line with its description, quantity, unit price and amount is the hard part, and it is what lets you code spend to the right accounts rather than dumping a lump sum against a vendor. Test it on your ugliest multi page invoices, not on a tidy one.

How the data actually reaches QuickBooks. There are three routes and they are not equivalent. A native sync writes bills or expenses directly through the QuickBooks Online API. A QBO or IIF file gets imported by you. A CSV gets mapped by you every time. Native sync is the least work and the most locked in; a file export works with Desktop, which the API route generally does not.

Whether line items cost extra. This one catches people. Some vendors price line item extraction as a separate add-on rather than including it in the base plan, so the number on the pricing page is not the number you will pay.

The Dext row is the one worth reading twice. Line item extraction is listed as an add-on starting at $20.50 a month, or $0.50 per document on pay-as-you-go, which sits on top of whatever base plan you are on. If line items are the reason you are buying capture software, that changes the comparison materially.

The Expensify row has a plan gate rather than a feature gate. QuickBooks Online is supported on Collect at $5 per member per month, but QuickBooks Desktop sits with NetSuite and Sage Intacct on the Control tier. Desktop users cannot buy the cheaper plan. It is also worth knowing that Auto Sync to QuickBooks Online runs daily rather than in real time, and that the Desktop connection runs through the Web Connector, which only queues updates until both QuickBooks and the connector are actually open.

Does QuickBooks Online extract line items from invoices?

No. QuickBooks Online Receipt Capture reads merchant, date and total from a single image and stops there. It does not return the individual lines on a supplier invoice, and it does not break sales tax out as its own field. If you need per line coding, per line tax, or a check that the lines sum to the stated subtotal, that has to come from a separate invoice capture tool.

Can QuickBooks Desktop scan invoices?

Not on its own. QuickBooks Desktop has no built-in OCR reader, so there is nothing in the product that will read a PDF invoice and turn it into a bill. Desktop users need a third party tool that produces an import file, or a connector that writes through the Web Connector. This is the main reason Desktop shops still key supplier invoices by hand in 2026.

How much does invoice capture software for QuickBooks cost?

Published entry prices run from $12 a month for Hubdoc to $149 a month for a plan with unlimited pages per document and QBO export. The honest way to compare them is per document rather than per month. A practice handling 400 supplier invoices a month pays 3 cents each on Hubdoc, 37 cents each on a $149 plan, and on Dext pay-as-you-go line item extraction alone is 50 cents each before the base plan. The cheapest per document option is rarely the cheapest overall, because the tools that cost less usually return less.

Should you build invoice capture instead of buying it?

If you have engineers, the cloud APIs are cheap enough to be tempting. Azure Document Intelligence charges $10 per 1,000 pages on its prebuilt invoice model, so 400 invoices at an average 1.4 pages is about $5.60 a month of inference. That number is real, and it is also the smallest part of the project.

What it excludes is a cloud subscription and resource to manage, async polling for multi page documents, mapping the JSON response into the QuickBooks bill format, handling failures and retries, and maintaining all of it as schemas change. Teams that already run infrastructure and can hand the integration work to an AI coding assistant often find the build reasonable. A two person bookkeeping practice almost never does, because the engineering time is the entire cost and there is nobody to do it.

What fields should invoice capture return for QuickBooks?

At header level you want vendor name, invoice number, invoice date, due date, any purchase order reference, subtotal, sales tax as its own field, and total. At line level you want description, quantity, unit price and line amount for every row. Tax has to be separate rather than folded into the total, because QuickBooks needs it separately to post correctly.

One cheap quality check almost nobody uses: if the extracted line amounts do not sum to the stated subtotal, the extraction missed something. Which one should you pick?

If you are on QuickBooks Online, your volume is low and you only need merchant, date and total, the built-in Receipt Capture is already there and costs nothing extra. Use it and stop.

If you need line items, compare on what line items actually cost rather than on the headline plan price, and confirm the route into QuickBooks matches the version you run. If you are on Desktop, check that before anything else, because it eliminates several options immediately.
