The best receipt scanner app for taxes depends on what you hand your tax preparer. If you want every receipt filed and searchable for an audit, a flat priced archive such as Neat at $200 a year is the cheapest serious option. Most "best receipt app" lists rank apps by star ratings. That misses the question a self employed person or small business owner actually has in February: which tool turns a year of receipts into numbers I can put on a Schedule C, and which one survives an IRS letter three years from now. Those are two different jobs, and the apps below are good at one or the other, rarely both.

What does the IRS actually need from a receipt app?
The IRS does not certify receipt apps, so any app claiming to be "IRS approved" is describing its own features. What matters is that your records meet the IRS rules for electronic storage and for substantiating deductions. Does the IRS accept scanned receipts?
Yes. Under Revenue Procedure 97-22, the IRS accepts electronic copies of receipts as long as the image is accurate and legible, the system keeps it secure, and you can retrieve and print it if asked. Any decent receipt app clears that bar. The weak point is usually the scan itself: a faded thermal receipt photographed in poor light can fail the legibility test years later, so scan early.
Can I throw away receipts after scanning them?
Generally yes, once the scan is legible, complete and backed up somewhere other than your phone. Check two things first. Some states set their own record rules for state returns, and receipts for warranties, insurance claims or returns may still be wanted on paper by someone other than the IRS. How long do I need to keep receipts for taxes?
Keep receipts for at least three years from the date you filed the return they support, which is the general IRS period for assessing more tax. That stretches to six years if you underreported income by more than 25 percent, and seven years for a claim on a bad debt or worthless security. Keep asset purchase receipts until three years after you dispose of the asset. Is a bank or credit card statement enough without the receipt?
Usually not on its own. A statement proves you paid a merchant, but not what you bought or why it was a business expense. For travel, gifts and car expenses, the IRS expects documentary evidence such as a receipt for any expense of $75 or more and for every lodging charge, along with the business purpose. At steady, low volume the phone apps win on price, and you should buy one of them. The picture flips when the work is lumpy. A bookkeeper or owner catching up a whole year in March does not need twelve months of a subscription, they need 600 receipts read in an afternoon. Features that matter at tax time

- Sales tax and line items. A receipt total hides the split between deductible supplies and personal items bought in the same trip. Line item extraction is what lets you deduct the printer paper and not the groceries.
- Export you control. CSV and Excel files outlive any subscription. If the only copy of your data lives inside an app you might cancel, export once a year anyway.
- Retention that matches the IRS window. Three years is the minimum. Six or seven is safer for anyone with irregular income.

Is a receipt scanner app worth paying for?
For most self employed people, yes, as soon as the time spent typing receipts costs more than the subscription.
