The best receipt scanner for Xero depends on how many receipts you handle and whether you need the individual lines. Two of those six cost nothing beyond your Xero subscription, which is the first thing to take seriously. Plenty of small businesses pay for a capture app they did not need because they never tried what Xero already gives them.
What Xero already reads for free
Xero now includes Smart Document Capture on every US plan. You photograph a receipt in the Xero Accounting app, forward a bill to your organization's Xero email address, or drag files into the web app. Xero says it reads the amount, date and other details, accepts JPG, PNG, PDF and Word files, and processes a clear scan in under 20 seconds. The result is a draft you review and approve, with the image attached.
Hubdoc is still there too. The Xero App Store lists it as included in the Early, Growing and Established plans, and its strength is fetching recurring bills and statements from supplier portals so nobody has to download them each month.
Where the free tools pinch is plan limits and volume. The $25 Early plan allows 5 bills a month, which a business with real supplier activity passes in the first week. Employee expense and mileage claims are listed only on the $90 Established plan. And both native tools are designed for documents that trickle in, not a shoebox from last year. When a paid receipt scanner is worth it with Xero
There are three situations where paying for a capture tool on top of Xero makes financial sense. Everything else is usually a habit problem, not a software problem.
You run a bookkeeping practice
Dext is the tool most Xero practices put on their shortlist, and it earns its place with supplier rules that remember how each vendor should be coded and can publish items automatically. The published Dext Business plan is $302.50 a year for 5 users and 250 documents a month, and practice plans are quoted per client with a 10 client minimum. You need line items, not just totals
A contractor costing materials to jobs, a retailer tracking stock bought on supplier invoices, or anyone who has to split one receipt across several accounts needs each line as its own row. Dext includes line item extraction for 5 documents a month, then sells it as a bundle from $20.50 a month on annual billing or from $0.50 a document pay as you go. A batch extractor includes the lines in the same page allowance. When the paperwork is mostly supplier bills tied to purchase orders, the problem often starts upstream, and B2B procurement software that matches the order, the delivery and the bill is the better fix than any scanner.
You have a backlog
This is the most common reason a Xero user goes looking. Six or twelve months of receipts that never got entered, sitting as a pile of paper or a folder of phone photos. Forwarding them to Xero one at a time works, slowly. Dext would process them but a year of backlog can run past the 250 document monthly allowance. The pattern is clear enough. If your problem happens once, pay for it once. If it happens every month across many clients, pay for a workflow tool. If it barely happens at all, use what Xero already includes.
How to choose a receipt scanner for Xero
- Try the native capture for two weeks. Forward every bill and photograph every receipt into Xero. If nothing piles up, you are done and you have spent nothing.
- Count documents and people. Tools priced per user punish teams, and tools priced per document punish high volume. Write both numbers down before you look at any plan card.
- Decide if you need line items. If a total per receipt is all your accountant asks for, you can skip every line item add on in this category.
- Separate the backlog from the flow. Clear old receipts with a one month batch job, then let the free capture handle new ones. Buying a year long subscription to fix a one time pile is the most common overspend we see.
