Hubdoc vs Expensify Pricing for Receipt Capture

Hubdoc costs $12 a month flat with unlimited usage. Expensify charges per member: Collect is $5 per member a month on an annual subscription or $10 pay per use, and Control is $9 annual or $18 pay per use. For one owner filing receipts into Xero or QuickBooks Online, Hubdoc is cheaper at any volume. Once employees spend money and need reimbursing, Hubdoc does not do that job at all and Expensify does.

Both prices were read from the vendor pages: the Hubdoc pricing page and the Expensify pricing page, plus the billing rules Expensify describes in its annual report on Form 10-K. The cost tables are our arithmetic from those published rates. Hubdoc vs Expensify pricing side by side

The two tools meter completely different things. Hubdoc meters nothing: one price, unlimited documents. Expensify meters people, specifically the members who were active in your workspace in the previous month.

Two lines in that table decide most purchases. The first is the QuickBooks Desktop row: on Expensify, Desktop support sits on Control, so the same integration costs $9 or more per member instead of $5 depending only on which QuickBooks you run. Hubdoc does not list QuickBooks Desktop at all. The second is the reimbursement row, which is the whole reason Expensify exists and something Hubdoc never attempts.

What Hubdoc vs Expensify costs at your team size

Because Expensify bills per active member and Hubdoc does not, the gap widens with every person you add. Here is the monthly bill at common team sizes, using the annual Expensify rates, with the pay per use rate in brackets.

The one row where Expensify wins on price is a single person on an annual Collect subscription, at $5 against $12. The catch is that Expensify bills on members active in the previous month and says in its 10-K that pay per use activity carries a higher average fee per member than annual members. A seasonal business with 20 people in April and 4 in August pays for whoever was active, and an annual commitment ended early has to be paid out.

Is Hubdoc really included with Xero?

Not on the current US pricing page, as far as we can see. Many articles say Hubdoc is free with Xero, and that was true for years. Xero's US pricing page lists the Early, Growing and Established plans and does not name Hubdoc as an included feature on any of them. Hubdoc's own pricing page lists $12 USD a month after the trial. If a free Hubdoc is part of your reasoning, confirm it inside your own Xero subscription before you rely on it.

Which is better for receipts, Hubdoc or Expensify?

For receipts that belong to the business owner or a bookkeeper, Hubdoc. For receipts that belong to employees who spent their own money or a company card, Expensify. Both read merchant, date and total from a receipt image and push a transaction into your ledger. Neither extracts individual line items, so neither will tell you that a $412 hardware store receipt was $300 of lumber and $112 of tools.

Hubdoc's strength is collection. It captures bills and receipts from mobile, desktop upload, email forwarding and scanners, keeps them in a searchable archive, lets several collaborators work in one account and syncs to Box. For a sole owner or a bookkeeper managing a small client, that covers the job at a fixed $12.

Expensify's strength is workflow. SmartScan reads the receipt, but what you pay for is everything after: expense reports, approval routing, reimbursement, corporate cards and policy rules on Control. If nobody on your team gets reimbursed, you are paying for machinery you will not use. Which is better for bookkeepers, Hubdoc or Expensify?

Bookkeepers tend to put client document capture on Hubdoc or Dext and use Expensify when a client already runs it for employee expenses. The reason is the pricing unit. A bookkeeper pays Hubdoc per account at a flat rate. Putting a client on Expensify means paying per member of that client's team every month, which is the client's cost to carry, not the bookkeeper's.

The real gap for bookkeepers sits between the two tools: the client who arrives in March with a shoebox, or a folder of 600 scanned receipts in one PDF. Hubdoc wants documents one at a time as they come in. Expensify wants each employee to submit their own. Neither is built to take a year of backlog in one pass and give you a clean spreadsheet with line items. QuickBooks Online already includes its own Receipt Capture, which reads merchant, date and total from one receipt per file. How much does Hubdoc cost per month?

Hubdoc costs $12 USD a month after a 30 day free trial that does not need a credit card. The pricing page lists unlimited usage, multiple collaborators, Xero and QuickBooks Online sync, mobile apps, document download and Box sync at that one price. There are no tiers and no add ons, which makes it the simplest price in the receipt capture category.

How much does Expensify cost per user?

Expensify Collect costs $5 per member a month on an annual subscription and $10 per member pay per use. Control costs $9 per member a month annual and $18 pay per use, and Expensify publishes conditions tied to Expensify Card spend under which Control reaches the lower rate. An individual SmartScan subscription is $4.99 a month. Billing is based on members active in the previous month.

Can Hubdoc replace Expensify?

Only if nobody but the owner or bookkeeper handles receipts. Hubdoc captures and files documents; it has no expense reports, approvals or reimbursement. A business whose staff pay out of pocket and get paid back needs Expensify or a tool like it. A business where one person spends and books everything can drop Expensify and pay $12 flat instead of per member.

What neither tool does well

Three jobs fall outside both products, and they are the ones that push buyers to look further.

Line items. Hubdoc does not offer line item extraction, and Expensify does not document it for SmartScan. If you cost jobs, track inventory or split receipts across categories, you need item level rows.

Backlogs. Both tools are designed for receipts arriving one at a time. A year of catch up work, or a scanner dump of hundreds of receipts in a few PDFs, is a batch problem.

Spreadsheet output. Both push into accounting software. If your accountant, auditor or grant report wants a spreadsheet of every receipt with tax split out, you are exporting and cleaning by hand.

Chasing the receipts is often the slowest step of all. If the real bottleneck is reminding staff to send them in and filing what comes back, an AI office assistant that drafts the reminder emails and files the attachments takes that off your plate before extraction even starts.
