Minute7 pricing is one number: $8 per user per month, after a 30 day free trial that needs no credit card. The Minute7 site says there are no additional fees for signing up, downloading, setting up or updating, and teams above 100 users are asked to contact sales for a discounted rate. A 10 person team pays $80 a month, or $960 a year.

That is the whole rate card, which makes Minute7 one of the easiest QuickBooks add ons to budget. The harder question is whether per user pricing is the right shape for what you need. Minute7 is a time and expense tracker built for professional service firms. If you are buying it mainly to get receipts into QuickBooks, the math and the feature list look different, and this page works through both.

One caution before you budget. Some software directories list Minute7 at $8 per user plus a $20 monthly base fee. The Minute7 site itself shows only the per user rate. Directory listings go stale, and the vendor page is the one that binds, but confirm the total on your first invoice during the trial.

How much does Minute7 cost per year?

Multiply the number of people who log time or expenses by $8, then by 12. Minute7 does not publish an annual discount, so the yearly figure is simply twelve monthly bills.

UsersMonthlyYearly
1$8$96
5$40$480
10$80$960
25$200$2,400
50$400$4,800
100$800$9,600

The arithmetic is ours, on the published rate. Above 100 users the price is negotiated, so treat the last row as a ceiling, not a quote.

What you get for $8 per user

Minute7 lists the following on its site. Everything is included at the one price; there are no feature tiers.

  • Timesheets. Daily hours by customer and project, with a built in timer and job codes you can restrict per person.
  • Expense tracking. Reimbursable expenses and company credit card expenses.
  • Mileage calculator. Mileage cost at the current IRS reimbursement rate.
  • Receipt attachments. Take a photo with your phone and the image is added to the expense entry.
  • Reports. Time and expense reports in Excel, PDF or CSV.
  • QuickBooks sync or standalone. Entries sync to QuickBooks for invoicing or reimbursement, or the tool runs on its own.

Minute7 names non profit organizations, architecture firms, engineering firms and IT companies as its core customers. That tells you the design center: people who bill hours to clients and occasionally rebill an expense. For that firm, $8 a head buys timesheets and expenses in one app that already talks to QuickBooks, and that is a fair price.

What Minute7 does not do with receipts

Minute7 describes receipt handling as attaching the image to an expense entry. The person filling in the entry still types the vendor, date, amount and category. The site does not describe reading those fields from the image, splitting line items, or returning sales tax as its own value. That matters in three situations.

  • Itemized purchases. A hardware store run that is half job materials and half shop supplies has to be split by hand.
  • Batches. A bookkeeper with a folder of 200 scanned receipts cannot upload the folder and get rows back. Each receipt becomes a manual entry.
  • Sales tax. If you file or reclaim sales tax, you read it off every image yourself.

None of this is a flaw for a firm that logs a few expenses per person per week. It is a mismatch for a business whose main pain is a pile of receipts.

Is Minute7 worth it?

Yes, if your people bill time. Timesheets plus expenses for $8 a head, synced to QuickBooks, is cheap next to most time tracking suites, and the flat rate means nothing to negotiate below 100 users. A five person architecture practice pays $480 a year and gets billable hours flowing into QuickBooks invoices. Once those invoices go out, the next problem is getting them paid, and that is a job for accounts receivable automation that chases unpaid invoices, not for a timesheet app.

It is harder to justify if nobody bills hours and you only want receipts in QuickBooks. Then you are paying $8 per person for a timesheet module you will not open, and the receipt part still needs typing. Twenty field techs who each send a handful of fuel and parts receipts a month would cost $160 a month on Minute7. The same receipts uploaded in one batch by the office would fit inside our Starter plan at $24 a month billed yearly, which covers 2,500 pages a month.

Your situationBest fitWhy
Consultants or engineers billing hours to clientsMinute7Time and expenses in one app, synced to QuickBooks for invoicing

Many spenders, one bookkeeper, receipts arriving as scans and PDFsReceiptOCRBatch upload, line items and tax extracted, no per user fee

Plenty of firms use two of these. A practice can keep Minute7 for timesheets and send the month of receipts through a batch extractor, then check the result against the bank feed. That routine is described on our QuickBooks receipt tracker page, and if the receipts come from employees paying out of pocket, QuickBooks Online employee expense reimbursement covers how to pay them back below the Advanced plan.

Does Minute7 have a free plan?

No. Minute7 offers a 30 day free trial with no credit card required, then $8 per user per month. The mobile apps are free downloads, but they need a paid account once the trial ends.

Does Minute7 work with QuickBooks Desktop?

Minute7 says it integrates with QuickBooks and also runs as a standalone tool, and it is listed in the Intuit app marketplace. Its site does not split the integration by QuickBooks edition, so confirm your Desktop version is supported during the trial before you move timesheets over.

How do I cancel Minute7?

Minute7 states you can cancel at any time and that cancelling has no impact on your QuickBooks data, because the entries that already synced stay in QuickBooks. Export your time and expense reports to Excel or CSV before you close the account if you want a copy of the history outside QuickBooks.

The short version

Minute7 costs $8 per user per month with a 30 day trial and, per its own site, no extra fees. Buy it for billable time with expenses on the side. If your real problem is a stack of receipts that has to become QuickBooks entries, price the job by documents instead of by people: drop a sample month into the upload tool at the top of this page and see what comes back.
