QuickBooks Receipt Tracker and QuickBooks Receipt Management

QuickBooks Online keeps receipts in a review queue, not in a log you can sort, total or hand to a tax preparer. Upload a month of receipts below and get one tracker row per receipt, with line items and sales tax, ready to check against QuickBooks and import.

Why Receipts Get Lost Between the Shoebox and QuickBooks

QuickBooks is good at the end of the process. Once a receipt is a transaction, it is categorized, matched and reported on. The trouble is everything before that point, when receipts sit in phones, inboxes and envelopes and nobody can say which ones have made it into the books.

The Receipts Tab Is a Queue, Not a Log

Intuit describes the For review tab as the place for uploaded receipts and bills that are not in your books yet. Once you match or create a transaction, the receipt leaves that queue. There is no single sortable list of every receipt for the month with its amount, tax and status.

One Receipt per File

The Intuit upload article states that each file should include only one receipt. A scanner sheet holding six fuel slips, or a supplier PDF with a month of receipts in it, has to be split before QuickBooks will read it.

Missing Receipts Show Up at Tax Time

A card charge with no receipt behind it looks fine in the bank feed. Nobody notices the gap until the accountant asks in March, by which time the merchant copy is long gone.

Line Items Stay on the Paper

Intuit describes receipt capture as extracting information and creating a transaction to review. It does not document line level extraction, so a mixed hardware store or warehouse club receipt is still split by hand.

Per User Apps Charge for Every Spender

Time and expense add ons for QuickBooks price by user. That is fair when everyone submits weekly, and expensive when ten people each send three receipts a month.

Duplicates When Receipts and Bank Feed Collide

If a receipt is added as a new expense while the same card charge is also categorized from the bank feed, the purchase is posted twice. A tracker that shows what is already in QuickBooks prevents that.

A Receipt Log Built From the Receipts Themselves

ReceiptOCR reads every receipt you upload, including scanner sheets and multi page PDFs, and returns one row per receipt with the merchant, date, payment method, sales tax, total and the individual lines. That spreadsheet is your receipt tracker. Sort it against the QuickBooks bank register, mark what is matched, and import the rest as a QuickBooks ready file.

One Row per Receipt

Merchant, date, payment method, subtotal, sales tax and total in their own columns, plus the source file name so every row traces back to an image.

Line Items When You Need Them

Itemized receipts come back with each line as its own row, so a mixed purchase can be split across categories without retyping it.

Many Receipts in One File

A scanned sheet or a PDF bundle is read as separate receipts. You do not split files first to satisfy a one receipt per file rule.

Easy to Check Against the Bank Feed

Date and amount sit in typed columns, so a lookup against the QuickBooks register or a card statement export finds the charges with no receipt in minutes.

QuickBooks Ready Export

Download Excel, CSV or a QuickBooks file and bring the unmatched receipts in as expenses or uploaded transactions.

No Per User Pricing

Plans follow pages processed, not headcount. Twelve people sending receipts cost the same as two.

Why Choose ReceiptOCR?

  • Works with QuickBooks Online and QuickBooks Desktop
  • Spenders never need a QuickBooks login
  • Reads several receipts from one photo or PDF
  • Starter is $49 a month, or $288 a year billed yearly
  • Source image kept with every row for substantiation

How to Track Receipts for QuickBooks in Four Steps

A monthly routine that works on every QuickBooks Online plan and on Desktop.

1

Collect Everything in One Place

Ask everyone who spends company money to send photos or PDFs to one shared inbox or folder. Several receipts in one photo is fine.

2

Extract the Month in One Upload

Drop the whole folder into ReceiptOCR. Every receipt comes back as a row with date, merchant, tax and total, and the lines if the receipt is itemized.

3

Check the Log Against QuickBooks

Export the bank or card register from QuickBooks for the same dates and look up each charge by date and amount. Charges with no row are your missing receipts. Rows with no charge are cash or personal purchases.

4

Import What Is Not in the Books Yet

Bring the unmatched rows into QuickBooks as expenses or uploaded transactions, then attach the images. Keep the tracker file with the month end close.

QuickBooks Receipt Tracker Options Compared

What QuickBooks includes, what the paid add ons charge, and where a batch receipt log fits. Prices are list prices read from each vendor page.

Bookkeepers Closing Client Months

Client receipts arrive as scans and email bundles at month end. A tracker per client shows which charges still need a receipt before you close.

Small Businesses on QuickBooks Online

Receipt capture is included and handles the daily few. You want a clean list of the year for your tax preparer without paying per user.

Contractors and Field Teams

Fuel, parts and materials from several vans, often scanned several to a sheet. One upload turns the week into job coded rows.

QuickBooks Desktop Users

Receipt management on Desktop is tied to Plus, Accountant and Enterprise. A file based tracker works the same on any edition.

Short answer: QuickBooks Online does not have a receipt tracker in the sense of a log you can sort and total. It has a Receipts tab where uploaded receipts wait in a For review queue until you match them to a bank transaction or create an expense. A QuickBooks receipt tracker is the list that sits in front of that queue: one row per receipt with date, merchant, tax and total, checked against the bank feed so you can see which receipts are in the books and which charges still have none. ReceiptOCR builds that list from a batch upload.

Does QuickBooks have a receipt tracker?

It has receipt capture and a review queue, which is close but not the same thing. Intuit explains that the For review tab holds uploaded receipts and bills that are not in your books yet, and that QuickBooks tells you when it finds an existing transaction that may match. If there is no match you create a bill or an expense from the receipt. That handles posting. What it does not give you is a month view of every receipt, its sales tax and whether it was matched, in a form you can sort, filter or send to your accountant.

What is the best receipt tracker for QuickBooks?

It depends on who creates the records. If every employee should log their own time and expenses from a phone, a per user add on that syncs to QuickBooks is the natural fit. If a few people spend and one person keeps the books, a batch receipt log is cheaper and faster, because the bookkeeper uploads the pile and nobody else needs an account. The built in Receipt Capture stays useful in both cases for receipts photographed at the till.

The Minute7 figures come from the Minute7 site, which states $8 per month per user with no additional fees for signing up or setting up. Some software directories list an extra monthly base fee, so confirm the total at signup. Minute7 describes attaching the receipt photo to the expense entry; it does not describe reading line items or sales tax from the image.

3$24 a month$15 a month$24 a month

The arithmetic is ours, on published list prices. The honest reading: with three spenders a per member app is cheaper than ours, and if your people also log billable hours, Minute7 does a job we do not do at all. The batch log wins once more than a handful of people send receipts, or when the receipts arrive as scanned sheets and PDF bundles that the phone apps and Receipt Capture cannot read in one pass.

How do I keep track of receipts in QuickBooks?

Keep two lists and compare them once a month. The bank and card register in QuickBooks is the first list, and it is already structured. The second list is your receipts, and that is the one most businesses never build. Extract the month of receipts into a spreadsheet, look up each register line by date and amount, and you have three outcomes: matched, a charge with no receipt, and a receipt with no charge. Chase the missing ones while people still remember the trip, then import or match the rest. Our page on receipt reconciliation software goes through the matching itself, including why restaurant tips and fuel holds make amounts disagree.

Can QuickBooks Desktop track receipts?

Receipt management on Desktop is documented by Intuit for QuickBooks Desktop Plus, Accountant and Enterprise, where you upload receipt images and review the transactions QuickBooks creates from them. Older perpetual Pro and Premier licences are not covered by that article. A receipt tracker spreadsheet does not depend on the edition, because the output is a file you import.

How long should I keep receipts tracked in QuickBooks?

The IRS generally expects you to keep records that support income and deductions for as long as the period of limitations for that return is open, which is three years in most cases. Digital copies are acceptable when they are legible and complete. Keep each month of the tracker file with the receipt images it was built from, so any line in QuickBooks can be traced back to a document.

For the capture side of the workflow, see QuickBooks receipt capture, which lists every Intuit limit on uploads and email forwarding. QuickBooks Receipt Tracker FAQ

Not as a sortable log. QuickBooks Online has a Receipts tab where uploaded receipts wait in a For review queue until you match them to a bank transaction or create an expense. A receipt tracker is the list in front of that queue, one row per receipt with date, merchant, tax and total, which ReceiptOCR builds from a batch upload.

If every employee should log their own expenses from a phone, a per user add on such as Minute7 at $8 per user or Expensify Collect at $5 per member fits. If a few people spend and one person keeps the books, a batch receipt log is cheaper, because only the bookkeeper uploads and there is no per user fee.

Compare two lists once a month. Export the bank or card register from QuickBooks, extract the month of receipts into a spreadsheet, and look up each charge by date and amount. Matched lines are done, charges with no row are missing receipts, and rows with no charge are cash or personal purchases.

Put your receipts into a spreadsheet with date and amount as typed columns, then check each line of the QuickBooks bank register against it. Any charge without a matching row is a missing receipt. Doing this monthly means you chase the receipt while the employee still remembers the purchase.

No. The Intuit help article on uploading receipts states that each file should include only one receipt, so a scanner sheet or PDF bundle has to be split first. ReceiptOCR reads each receipt on the page separately and returns one row per receipt.

Receipt capture is documented around creating a transaction, not around returning a separate tax value. If you need sales tax paid by month for a state filing or a reclaim, a tracker with tax in its own column gives you that total directly.

The Minute7 site lists $8 per user per month after a 30 day free trial, with no additional fees for signing up or setting up, and asks teams above 100 users to contact them for pricing. Some directories show an extra monthly base fee, so confirm the total when you sign up.

Intuit documents receipt management for QuickBooks Desktop Plus, Accountant and Enterprise, where you upload receipt images and review the transactions created from them. Older perpetual Pro and Premier licences are not covered, so a file based tracker is the edition independent route.

Not with a batch tracker. Employees send photos or PDFs to a shared inbox or folder, and the bookkeeper uploads them. That keeps QuickBooks user seats for the people who actually work in the books.

It prevents them. Duplicates happen when a receipt is added as a new expense while the same card charge is also posted from the bank feed. Checking the tracker against the register first shows which receipts are already in QuickBooks, so you only import the ones that are not.
