Upload vendor invoices as PDFs or photos. AI reads the vendor, invoice number, date, total and line items, then the invoice checker lists repeated invoice numbers, totals far from the vendor norm, changed vendor details and invoices that do not match the purchase order.

A vendor emails the invoice, then mails a paper copy, then sends a reminder with the same PDF attached. Each copy looks legitimate on its own. Your accounting software only stops an exact repeat of the bill number for the same vendor, so INV-0042 and INV 42 both go through, and the second check goes out.
A dash, a space or a leading zero is enough to get past an exact match. INV-0042, INV42 and inv-42 are three different strings to most systems and one invoice to your vendor.
Acme Supply LLC on one invoice and Acme Supply on the next become two vendors in your books, and a duplicate split across two vendor records is invisible to a per vendor check.
The total looks normal, but one line bills 120 units against a purchase order for 100, or a unit price crept up by a few cents. Nobody reads every line on every invoice.
Most duplicate payment tools plug into SAP or Oracle and start with a sales call. A ten person finance team paying 300 invoices a month needs something it can switch on today.
Every invoice you upload is read with AI and kept in your archive. The Invoice checks screen compares your 2,000 most recent documents, across every batch and every member of your team on Plus, and lists what needs a second look before payment. Nothing is changed or blocked automatically; you decide.
Invoices from the same vendor with the same invoice number are grouped. Punctuation, case and leading zeros are ignored, so INV-0042 and INV42 match, and Inc, LLC or Corp after the vendor name does not split the group.
When the same vendor invoice number shows up with a different total, it is listed separately as a reused number, the classic sign of a corrected invoice paid twice or a mistake on the vendor side.
Receipts and bills with no invoice number are compared on vendor, date and total. Two documents that match on all three are flagged as possible duplicates.
Once a vendor has at least four documents in one currency, any total three times above or below that vendor median is flagged with the multiple and the median it was compared against.
The same vendor appearing with a different tax ID, address or email is listed with every variant found. A new remit address on a familiar vendor is worth a phone call before you pay.
Invoices are matched to the purchase order and delivery receipts by PO number. Totals above the PO, lines not on the PO, extra quantity, a unit price off by more than 0.5 percent and quantity above what was received are each listed.
From a folder of vendor invoices to a list of what not to pay, without building a matching spreadsheet.
Drop in PDF invoices, scanned bills, photos, purchase orders and packing slips, up to 50 files at once. AI reads vendor, invoice number, PO number, date, totals and every line.
The checks run across your 2,000 most recent documents, so an invoice uploaded today is compared with the one from March. On Plus your team uploads into one shared archive.
Tip: Upload invoices when they arrive, not when they are due. A duplicate caught before the payment run costs a click; after it, a refund request.
Each finding names the vendor, the invoice numbers and the amounts and links to the documents, so you can compare the copies side by side and fix any field AI read wrong.
Download the approved invoices to Excel, CSV or a QuickBooks file and pay from a list you trust.
Built for US businesses that pay vendor invoices from email and paper and want a second check before the money leaves.
Firms paying bills for several clients, where the same vendor invoice arrives by email, portal and mail and nobody remembers which copy was already entered.
Finance leads paying a few hundred invoices a month from QuickBooks, Xero or NetSuite without a dedicated AP system or audit team.
Teams that issue purchase orders and receive goods and need invoices checked against what was ordered and what arrived.
Reviewers handed a year of invoices who need repeated numbers, outlier totals and vendor detail changes listed in an afternoon.
Short answer: duplicate invoice detection software compares every vendor invoice you receive against the ones you already have and flags repeats before they are paid. ReceiptOCR reads each PDF or photo with AI, then groups invoices with the same vendor and invoice number even when the formatting differs, flags totals far from the vendor norm, lists changed vendor tax IDs, addresses and emails, and matches invoices to purchase orders and delivery receipts. It is included in every paid plan from $49 a month.
Compare each new invoice with past invoices from the same vendor on three things: the invoice number, the total and the date. A repeated invoice number with the same total is almost always a duplicate. The same number with a different total is a corrected or reissued invoice that needs a decision. No number at all, but the same vendor, date and amount, is a possible duplicate. Normalize before you compare: strip dashes, spaces and leading zeros from numbers and legal suffixes like LLC from vendor names, because that formatting is exactly what lets a copy past an exact match.
Most duplicates are honest. The vendor sends the same invoice by email and by mail, a reminder arrives with the original attached, a statement is keyed as a new bill, or two people on the team each enter the copy they received. The rest come from formatting: a vendor record created twice, an invoice number typed with and without a prefix. A smaller share is deliberate, which is why a vendor address or tax ID that suddenly changes deserves its own check, not just the number match.
QuickBooks Online can warn you when you save a bill whose bill number was already used, if the duplicate bill number warning is turned on under Account and settings, Advanced, and that is useful for exact repeats. It does not compare INV-0042 with INV42, it cannot see a duplicate split across two vendor records, and it does not compare bill lines with a purchase order and a delivery receipt. Running incoming PDFs through an invoice checker first, then importing the clean batch into QuickBooks, covers both sides.
The right tool depends on whether you already run an ERP and how many invoices you pay. This is an honest map of the options, including where an enterprise tool is the better buy.
| Option | Catches formatting variants | Reads the PDF | PO and receipt matching | Setup | Best for |
|---|---|---|---|---|---|
| Accounting software warning | No, exact bill number only | No | No | None | Exact repeats you enter yourself |
| Spreadsheet with COUNTIF | Only if you clean the numbers first | No, you type every invoice | Manual | Hours per review | One-off audits of small volumes |
| Enterprise duplicate payment tools and AP suites | Yes, often with machine learning scoring | Varies | Yes, inside the ERP | ERP integration, sales quote | SAP, Oracle or large AP teams that also need payment blocking |
| ReceiptOCR invoice checks | Yes, punctuation, case, leading zeros and legal suffixes | Yes, AI extraction of every field and line | Yes, two-way and three-way by PO number | Upload and open the screen | Small and mid-size teams paying from PDFs and paper |
We do not connect to your bank or block payments inside your ERP, and we only see the invoices you upload. If you need automated payment holds across a large ERP, a dedicated AP suite is the better fit. If invoices reach you as PDFs and you want them read, checked and exported in one place, this is faster to start. For the full extraction workflow see invoice processing software and OCR for accounts payable.
Three-way matching checks an invoice against two other documents before payment: the purchase order, which says what was ordered and at what price, and the delivery receipt, which says what actually arrived. If quantities and prices agree across all three, the invoice is approved. Two-way matching skips the receipt and compares invoice with PO only. The invoice checks screen does both by PO number and reports each difference line by line, ignoring rounding gaps of 0.5 percent or less, using the line items extracted from every document.
Yes. Upload last year of invoices and the checks run on up to 2,000 of the most recent documents at a time, which is how a duplicate payment recovery review starts. You get the list of repeated numbers and outliers with links to each document, and the export gives your team the evidence to request a refund or credit from the vendor.
It is software that compares each vendor invoice with the invoices you already received and flags likely repeats before payment. Good tools normalize invoice numbers and vendor names first, so formatting differences do not hide a copy, and also check totals, vendor details and purchase orders.
Match the vendor and invoice number after removing dashes, spaces and leading zeros, then compare totals. Same number and same total is a duplicate; same number with a new total is a reissued invoice. Without a number, compare vendor, date and amount. ReceiptOCR runs these checks across your 2,000 most recent documents.
QuickBooks Online can warn when a bill number was already used, once the duplicate bill number warning is turned on in Advanced settings. It does not catch formatting variants like INV-0042 and INV42, duplicates under two vendor records, or quantity and price differences against a purchase order, which is what an invoice checker adds before import.
It flags the patterns fraud reviews start with: the same vendor appearing with a different tax ID, address or email, totals three times above the vendor median, and reused invoice numbers. It points you to the documents to verify; it does not decide on its own that an invoice is fraudulent.
Yes. Invoices, purchase orders and delivery receipts with the same PO number are grouped. It lists invoiced totals above the PO, lines not on the PO, quantities above what was ordered or received and unit prices that differ from the PO by more than 0.5 percent. Without a receipt it reports a two-way match.
No. The checks run on invoices you upload as PDFs, scans or photos. There is nothing to connect and no rules to configure. You can export the reviewed invoices to Excel, CSV or QuickBooks afterward.
Enterprise duplicate payment tools are usually quoted per contract and tied to an ERP. ReceiptOCR includes the invoice checks in every paid plan: Starter is $49 a month for 2,500 pages, Plus is $149 a month for 10,000 pages with a shared team archive. There is no per user fee.
Yes, on Plus and above. Team members upload into one shared archive, so a copy entered by one person is compared with the original another person uploaded, which is where many duplicates come from.
