Search for the cost of processing an invoice and you will find figures from $2 to $40, all stated with confidence. Most trace back to subscription research most readers cannot open, and the ranges get flattened into a single scary number by whoever is selling automation. Your own number is knowable and more useful.
A benchmark median and a top-quartile figure can differ by a factor of four in the same study. Quoting either as the average invoice cost hides the fact that company size, volume, and process maturity drive almost all of the variation.
Software is rarely the dominant cost. The time someone spends opening a PDF, keying a dozen fields, chasing an approval, and correcting a typo is what you are actually paying for, and it is specific to your team and your pay rates.
Straight-through invoices are cheap. The expensive ones are the duplicates, the price mismatches, and the bills from a supplier who changed their layout. Averages bury these, and they are where the money goes.
A wrong total that reaches the ledger costs the original keying time plus the investigation, the correction, and sometimes a vendor conversation. Cost models that only count first-pass entry understate the total.

Tip: Time five clean invoices and five exceptions separately. The gap between those two averages is usually the most useful number in the whole exercise.
Take the salary of whoever does the work and add payroll taxes and benefits to get a loaded cost, then divide by working hours in the year. Using base salary alone understates the real cost of the time.
Count the invoices in a month that needed correcting, and how long each correction took including the follow-up. Add approver time as well, because a manager reviewing an invoice is a more expensive minute than a clerk keying it.
Now put your labor number beside the published price of automating the reading step. The comparison is only meaningful once your own figure is measured rather than borrowed from a blog post.

There is no reliable single answer, and treating one as fact is the mistake. Published estimates range from roughly $2 to $40 per invoice, and the spread comes from genuine differences in company size, invoice volume, degree of automation, and labor rates, not from measurement error. Most widely quoted figures originate in paid benchmarking studies, so the honest approach is to calculate your own.
Multiply the minutes an invoice consumes by the loaded hourly cost of the people who touch it, then add rework. If a clerk on a loaded cost of $36 an hour spends 6 minutes keying and coding an invoice, that is $3.60 in entry labor, or 60 cents a minute. Add approver time and the cost of correcting the invoices that go wrong, and you have your figure.

Change any input and the answer moves substantially, which is exactly why a borrowed average is not worth budgeting against. Run it with your own rates and your own measured minutes.

The comparison that matters is minutes against cents. Capture pricing is measured in fractions of a cent to a few cents per page, while the labor it displaces is measured in dollars per invoice. That gap is why the automation case is usually easy once your own labor number is measured, and it is also why the case is weak at low volume: saving $6 an invoice on 20 invoices a month is $120, which does not justify a project. It reduces the labor minutes per invoice, which is where the cost sits. It does not remove cost entirely, because review, genuine exceptions, and approvals remain human work. Expect the entry stage to shrink substantially and the exception stage to stay roughly the same, so total savings depend heavily on what share of your invoices are clean.
In order of size: eliminated keying time, fewer corrections because structured data surfaces mismatches before posting, faster close because month-end is a batch rather than a queue, and occasionally early-payment discounts that were previously missed because approval took too long. The first two are reliable. The last one depends entirely on your supplier terms, so do not budget for it until you have checked them.
