The best SimplyWise alternative for a business depends on what broke. If you need receipts in QuickBooks or a spreadsheet for more than one person, SimplyWise documents no QuickBooks integration and no team accounts, and spreadsheet exports sit on its top tier. SimplyWise is a well liked phone app. Its App Store listing shows a 4.9 rating from about 38,000 reviews, and for one person keeping receipts for a tax return it does the job at a low price. The people who search for an alternative are usually not unhappy with the scanning. They have hit the edges of a consumer app: a second employee, a bookkeeper who wants a file instead of a ZIP of photos, a box of old receipts, or a QuickBooks ledger that has to match.

How much does SimplyWise cost?

The receipt app is free to download with a limited plan of 250 saves, and that count includes receipts imported from email, Amazon and PayPal, not just photos. After that you need a subscription for unlimited storage. The App Store in-app purchase list shows SimplyWise Base at $29.99 and SimplyWise Pro at $89.99, alongside weekly options at $0.99 and $2.99 and a $0.99 pay what is fair option.

The company now leads with a cost estimator for contractors. Its own pricing page lists that product at $29.99 a month or $239.99 a year after a 7 day trial, and says every plan includes the rest of the suite: the cost estimator, Receipts and Expenses, the mileage tracker and an AI receptionist. So there are two very different SimplyWise bills, and which one you see depends on which app you came in through.

Is SimplyWise free?

Only up to 250 saves. The free plan lets you scan and file receipts and download the images as a ZIP file, but the SimplyWise FAQ says categorization reports, PDF reports and spreadsheet downloads belong to the business tier. A business that wants its receipts as data, rather than as pictures, ends up on a paid plan quickly.

Does SimplyWise work with QuickBooks?

SimplyWise does not document a QuickBooks integration. Its FAQ describes CSV and XLSX downloads on the business tier and sharing folders with individual people, not team accounts. You can still move data into QuickBooks Online by hand from those spreadsheets, but nothing syncs, and each person keeps their own app account. For a bookkeeper with several clients or a company with several spenders, that is the point where a different tool pays for itself.

Where SimplyWise stops fitting a business

  • More than one spender. Sharing is folder based, so a company with five people buying fuel and supplies gets five separate apps and five separate exports.
  • A backlog. The app is built around snapping receipts one at a time on a phone. A shoebox of last year or a 40 page scan from the office copier is a different job, which is what a bulk receipt scanner does.
  • QuickBooks as the system of record. If your books live in QuickBooks Online, the useful output is rows with merchant, date, category, sales tax and total, ready to post, not a folder of images.

What is the best SimplyWise alternative for a small business?

Is SimplyWise cheaper than ReceiptOCR?

Yes, for one person. A $29.99 SimplyWise subscription costs less than a single month of our Starter plan, and if you snap 20 receipts a month for your own Schedule C, SimplyWise is the sensible buy. The math flips when the volume or the number of people grows. Starter includes 2,500 Base AI pages a month, there is no charge per user, and one upload can hold a mixed stack of photos, scans and PDFs, including several receipts on one page. A bookkeeper clearing 300 client receipts a month pays the same $49 whether those receipts came from one client or eight.

How to switch from SimplyWise without losing receipts

  1. Download your receipt images from SimplyWise. The FAQ says every plan, including the free one, can download a ZIP of receipt images.
  2. If you are on the business tier, also download the CSV or XLSX so you have the history SimplyWise already extracted.
  3. Upload the images to ReceiptOCR in one batch. Each receipt becomes a row with merchant, date, category, sales tax and total, and keeps its source image.

  5. Cancel the SimplyWise subscription in the App Store or Google Play before deleting the account, as the SimplyWise FAQ instructs.

What about the rest of the SimplyWise suite?

Some people subscribed for the bundle rather than the receipts. If the cost estimator is what you use every day, the contractor suite at $239.99 a year is fair value and the receipt app comes with it; you may only need a separate extractor for the batches it was never built for. If the receptionist was the part you relied on, a dedicated AI receptionist that answers your business calls covers that job on its own, and receipts can go to whichever tool handles your books best.

Bottom line

SimplyWise is a good receipt app for one person. When receipts start coming from several people, in batches, or need to land in QuickBooks Online as rows rather than pictures, a business tool is the better buy.
