Why Kofax Pricing Is So Hard to Find

Search for Kofax pricing and most results are about a PDF editor, not document capture. That is because Tungsten Automation runs two commercial models under one brand: a web store for desktop software, and a quote-only enterprise platform sold through sales and partners. The numbers buyers actually need for invoices and receipts sit almost entirely in the second group.

No Rate Card for Capture or TotalAgility

The Tungsten Capture and TotalAgility product pages end at a Request demo form. Neither product has a published price, a calculator or a self-serve plan, so a budget starts with a sales call.

The Prices You Do Find Are for PDF Tools

Power PDF, PaperPort and OmniPage carry list prices because they are desktop software. None of them extracts vendor, date, tax and line items into rows, which is the job most invoice and receipt buyers are pricing.

Licensed by Volume, Station and Module

Kofax Express comes in seven license levels, invoice processing is sold in invoice-volume tiers, and line item capture, approval workflow and cursive recognition are separate add-ons. Two quotes for the same volume can differ a lot.

The License Is Not the Whole Bill

Capture projects are usually delivered with a partner, and perpetual licenses are normally paired with annual maintenance. Implementation, scanner integration and training are priced on top of the software line.

Receipt and Invoice Extraction Priced by the Page, Without a Sales Call

If the job is turning receipts and vendor invoices into structured data, not running a mailroom of production scanners, you can price it today from a published plan and test it on your own documents first.

Published Monthly Plans

Starter is $49 a month, or $288 a year, for 2,500 pages on the Base model. Plus is $149 a month for 10,000. Pro starts at $499 a month for 35,000 pages and adds API access.

No Templates to Train

The AI reads any US vendor layout on the first upload. There is no per-vendor template, no locator setup and no project to configure before the first invoice comes back.

Line Items Included

Every plan returns line items with quantity, unit price and amount. On the public Kofax contract list, line item capture for ReadSoft Online is a separately priced add-on.

Excel, CSV and QuickBooks Files

Download one spreadsheet per batch, or a QuickBooks-ready file, with the same columns every time so the import mapping is done once.

Batch Uploads

Upload up to 50 files at once, from scanned PDFs to phone photos. Each document becomes rows in a single export.

API When You Need It

Teams that want extraction inside their own system move to Pro and call the same engine over the API, with page pricing that stays readable.

How to Budget a Kofax Quote in Four Steps

Tungsten will not give you a number until you describe the project, so walk in with the four figures that drive every line of the quote.

1

Count Annual Pages and Documents

Invoice processing is sold by invoice volume and capture by page volume. Count both for the last twelve months, including multi-page invoices.

2

Pick the Product Family

Batch scanning at the desk is Kofax Express. Server capture with validation is Tungsten Capture. Workflow plus extraction is TotalAgility. Cloud AP invoice capture is ReadSoft Online. Each is priced differently.

3

Ask for Every Line Separately

Request license, add-ons such as line items and approvals, annual maintenance, partner services and scanner integration as separate lines, so you can compare like with like.

4

Divide by Documents

Turn the first-year total into a cost per invoice and compare it with per-page tools. Below a few thousand invoices a month, the gap is usually large.

Tip: Run a sample month through our upload tool first, so you have a real accuracy baseline to bring to the sales call.

Every Public Kofax Price We Could Verify

Desktop prices are read from the Tungsten Automation website. Platform prices come from a public Texas DIR cooperative contract price list for Kofax products, dated April 2020, which is the most recent itemized public list we found. Current quotes will differ, and the cost per invoice figures are our own arithmetic.

AP Managers at Mid-Size Companies

Processing 500 to 5,000 vendor invoices a month and wondering whether an enterprise capture platform is the only way to stop keying them.

Bookkeeping and Accounting Firms

Turning client receipts and supplier bills into rows for QuickBooks or Excel, where a five-figure license never pays back.

Operations Teams With Mailrooms

High-volume paper intake on production scanners, where Kofax Express and VRS image cleanup earn their price.

Developers Replacing Legacy Capture

Moving an old Kofax Capture or ReadSoft workflow to an API that returns JSON per document without template maintenance.

Kofax pricing is mostly quote only. Tungsten Automation publishes list prices for Power PDF ($129 Standard, $179 Advanced) and OmniPage Ultimate ($499), but not for Tungsten Capture or TotalAgility. The latest itemized public list we found, a 2020 Texas state contract, prices Kofax Invoice Processing from $9,025 for 5,000 invoices, which is about $1.81 per invoice.

Kofax pricing at a glance

The Kofax product line splits cleanly into products you can buy with a card and products you can only buy through sales. Here is what each one does and what has been published.

Store prices read from tungstenautomation.com. Contract prices are DIR customer prices on a Texas cooperative contract price list for Kofax products dated April 27, 2020. Government contract pricing is usually discounted from list, so a commercial quote may be higher.

How much does Kofax Capture cost?

Tungsten does not publish a price for Tungsten Capture, the product most buyers still call Kofax Capture. It is licensed per server, sized by annual page volume, with modules such as VRS image cleanup, recognition and web capture added on top. The 2020 contract list shows what some of those pieces cost: the VRS Elite Production upgrade for Kofax Capture at $1,221.70, a Kofax Web Capture server at $17,955 and the first Web Capture SDK at $7,481.25. Expect a capture project to land in five figures before services.

Kofax Invoice Processing cost per invoice

Invoice processing is the closest Kofax product to what ReceiptOCR does, and it is the one with the clearest public numbers. Dividing each tier by its invoice volume gives the license cost per invoice. This is our arithmetic, not a Tungsten figure.

Invoice volume tier2020 contract priceLicense cost per invoice
5,000 invoices$9,025.00$1.81
10,000 invoices$11,352.50$1.14
30,000 invoices$25,650.00$0.86
60,000 invoices$40,470.00$0.67
120,000 invoices$66,832.50$0.56
300,000 invoices$132,335.00$0.44
1 million invoices$297,825.00$0.30
5 million invoices$1,059,250.00$0.21

For comparison, ReceiptOCR Plus on yearly billing is $888 for up to 2,000 Pro AI pages a month, which covers 10,000 single-page invoices a year with room to spare. That is about $0.09 per invoice at 10,000, and less as volume grows inside the plan. The Kofax figure buys a different product, with validation stations, ERP connectors and on-premises deployment, so the question is whether you need those things or only the data.

ReadSoft Online pricing per invoice

ReadSoft Online, the cloud AP capture service that came into the Kofax family with ReadSoft, is billed as a subscription plus prepaid click charges. On the 2020 contract list, 10,000 invoices cost $261.25 in subscription and $5,120.50 in clicks, or about $0.54 per invoice. Line item capture adds $133 plus $2,560.25 per 10,000, roughly $0.27 more per invoice, and approval workflow adds $80.75 plus $1,534.25. A buyer who needs header fields, line items and approvals is near $0.97 per invoice before any services.

Kofax Express pricing by license level

Kofax Express is desktop batch scanning software that drives a document scanner, cleans up images and exports indexed files. It does not extract line items into a spreadsheet. Its seven levels on the 2020 contract list:

License level2020 contract price
Desktop$498.75
Workgroup$1,296.75
Workstation$1,496.25
Low Volume Production$1,995.00
Mid Volume Production$7,481.25
High Volume Production$9,775.50
Super High Volume Production$14,962.50

Current US reseller listings for the Low Volume Production level sit around $1,700, so street prices move, but the shape of the ladder is the same.

Where Kofax is genuinely worth the money

Kofax earns its price in a few situations, and it is worth being plain about them. A mailroom scanning tens of thousands of paper pages a day on production scanners needs the scanner drivers, image cleanup and batch control that Kofax Express and VRS were built for. Regulated teams that must keep documents on their own servers need on-premises deployment, which hosted tools do not offer. Companies automating whole processes, with routing, exceptions and robotic steps across several systems, are buying TotalAgility for the workflow, not the OCR. And a business already running Kofax with trained staff usually gets the cheapest next step from the vendor it has.

Outside those cases, most buyers searching for Kofax pricing want the data off receipts and invoices. A firm with a few thousand documents a month gets that from a bulk receipt scanner or from invoice capture software priced by the page, and an AP team can see the workflow side on our OCR for accounts payable page.

Is Kofax the same company as Tungsten Automation?

Yes. Kofax announced on January 16, 2024 that it had become Tungsten Automation, after acquiring Tungsten Network in 2022. The company said existing products, URLs and logins were unchanged, which is why Kofax Capture now appears as Tungsten Capture and Kofax Power PDF as Tungsten Power PDF. Searches for Kofax pricing and Tungsten Automation pricing lead to the same products and the same quote process.

Kofax Pricing FAQ

It depends on the product. Tungsten Automation sells Power PDF from $129 and OmniPage Ultimate for $499 as one-time licenses, while Tungsten Capture and TotalAgility are quote only. The most recent public contract list prices Kofax Invoice Processing from $9,025 for 5,000 invoices and Kofax Express from $498.75, before maintenance and services.

Desktop licenses are perpetual: Power PDF Standard is $129, Advanced $179 and OmniPage Ultimate $499 on the Tungsten store. Capture licenses are sized by page volume and stations, and on a 2020 state contract list Kofax Express ranged from $498.75 for Desktop to $14,962.50 for Super High Volume Production.

Tungsten does not publish a price for Tungsten Capture, formerly Kofax Capture. It is licensed per server by page volume, with modules priced separately, for example the VRS Elite Production upgrade at $1,221.70 and a Web Capture server at $17,955 on a 2020 contract list. Most projects land in five figures before partner services.

There is no public TotalAgility price. Tungsten sells it through a demo and quote process, sized by users, document volume and digital workers, and deploys it in the cloud or on premises. Ask for license, maintenance and implementation as separate lines so the quote can be compared with per page tools.

Yes. Kofax renamed itself Tungsten Automation on January 16, 2024, after acquiring Tungsten Network in 2022. Products, URLs and logins stayed the same, so Kofax Capture, Power PDF and OmniPage are now sold under the Tungsten name through the same channels and the same quote process.

No, but they share products. Kofax bought the Nuance Document Imaging business in 2019, which brought Power PDF, PaperPort and OmniPage into the Kofax line. Nuance itself was later acquired by Microsoft and continues as a separate speech and healthcare AI business.

Power PDF Standard for Windows is $129 and Power PDF Advanced is $179 on the Tungsten store, with Power PDF for Mac at $129. These are perpetual licenses with no monthly fee. Power PDF is a PDF editor, so it does not extract receipt or invoice fields into spreadsheet rows.

No. Tungsten offers a 15 day free trial of its desktop products, after which a license is required, and its capture platforms have no free tier. If you want to test extraction on your own receipts or invoices before paying, our upload tool at the top of this page returns the fields from a sample document.

Not a public one for the enterprise products. Itemized prices appear in government cooperative contracts, such as a Texas DIR list from 2020 that this page uses. Those are discounted contract prices for public entities and will not match a current commercial quote exactly.

ReadSoft Online is sold as a subscription plus prepaid click charges per invoice. On the public 2020 Texas DIR contract list, 10,000 invoices cost $261.25 in subscription and $5,120.50 in clicks, about $0.54 per invoice for header fields. Line item capture and approval workflow are separate add ons, which brings a full setup near $0.97 per invoice.

If you need the data rather than scanner control or on-premises workflow, a per page extraction tool costs far less. ReceiptOCR Plus at $888 a year covers 10,000 single-page invoices, about $0.09 each, against $1.14 per invoice on the 10,000 tier of the 2020 Kofax contract list.
