Why Rossum Pricing Is So Hard to Pin Down

Rossum runs a public pricing page, which is more than most enterprise capture vendors manage. What it does not do is publish rates. One of the four plans carries a figure, that figure is a floor rather than a price, and the two variables that actually set your bill, page volume and workflow complexity, are never mapped to dollars anywhere on the site. Here is what the page really says.

Three of the Four Plans Have No Price at All

Starter, Business, Enterprise and Ultimate are the four tiers. Only Starter carries a number. Business, Enterprise and Ultimate each end at the same Get A Quote button with a feature list and no rate, no band and no starting point. Seventy five percent of the ladder is invisible until you talk to sales.

The One Published Figure Is a Floor, Not a Price

The wording is Starting at $18,000 per year. That is the entry point of the cheapest tier, not what a Starter deployment costs. Your actual number depends on page volume, and Rossum states plainly that pricing is based on the volume of pages or documents you process and the complexity of your workflows.

The Minimum Term Is a Full Year

Rossum answers the contract question directly in its own FAQ: the minimum contract length is one year. There is no monthly plan, no quarterly commitment and no way to buy three months of capacity to survive a seasonal backlog. The smallest thing you can buy is twelve months of the cheapest tier.

Overage Pricing Exists but Has No Published Rate

If you exceed the plan limit, Rossum says you can upgrade to a higher volume plan or pay per additional page. The per page overage rate is not published anywhere, so a buyer cannot model what a busy quarter costs before signing.

The Features Most Finance Teams Assume Are Standard Sit on Higher Tiers

Master data matching, duplicate detection, custom business logic, custom functions and webhooks, and the ability to integrate with SAP, Coupa, Workday or Oracle all begin at Business. Single sign on begins at Enterprise. A Starter quote is not the same product a demo usually shows.

Four Categories of Add On Are Priced Separately

Integrations, AP apps, e-invoicing and service plans are all listed as add ons on the pricing page, each with its own Learn More link and none with a rate. On a capture project the services line is frequently a significant share of the first year, and it is quoted apart from the platform.

If the job is getting structured data out of receipts and supplier invoices rather than running an enterprise document automation program, the evaluation does not have to begin with a quote request and a twelve month commitment. How to Estimate What Rossum Will Cost You

Rossum will not give you a number without a conversation, but the two variables it prices on are both things you already know. Work through these four steps before the call and you will arrive with a defensible range instead of a blank page.

Count Pages Per Year, Not Documents

Rossum states that pricing follows the volume of pages or documents you process. Pull twelve months of AP volume and count pages, because a three page invoice packet with a delivery note attached is three pages, not one. Include the sales orders, packing lists and certificates you plan to route through the same queues.

Tip: Add roughly 15 percent on top for reprocessing, rejects and duplicate submissions. Capture volumes are always higher in production than in the estimate.

Decide Which Tier You Actually Need

Read the feature ladder before you read any price. If you need master data matching against your vendor list, duplicate detection, webhooks or an SAP, Coupa, Workday or Oracle integration, Starter is not your tier and the $18,000 figure does not apply to you. If you need single sign on, you are at Enterprise or above.

Add the Add Ons and the Services Line

Integrations, AP apps, e-invoicing and service plans are quoted separately from the platform. Ask for the platform line, the add on lines and the onboarding or success plan line as three separate numbers, then compare only the total. A platform only comparison flatters every enterprise capture vendor.

Divide the First Year Total by Your Document Count

Take the whole first year figure, including services, and divide it by the number of documents you will actually process in that year. That single cost per document number is the only unit that makes Rossum, a per document API and a per page cloud service directly comparable.

Two details in that table matter more than the rest at quote time. Single sign on does not appear until Enterprise, which surprises security teams who assumed it was table stakes. And the ability to integrate with SAP, Coupa, Workday or Oracle begins at Business, so a Starter price cannot be compared against a demo that showed an ERP integration.

What $18,000 a year works out to per document

The published floor is $18,000 a year, which is $1,500 a month committed for twelve months whether or not you use it. Dividing that floor by monthly document volume produces the only number that makes Rossum comparable to a per document tool. This arithmetic is ours, applied to the one figure Rossum publishes.

The shape of that table is the whole buying decision. Rossum only becomes cheap per document somewhere north of 10,000 documents a month, and it is priced accordingly: the platform is built for high volume AP, customs clearance and order management operations. A team processing a few hundred invoices a month is paying several dollars a document for capability it will never switch on.

Read down the minimum term column rather than the price column. Rossum is the only vendor in that list that will not sell you a single month, and for a finance team that is often the deciding constraint rather than the headline rate.

How does Rossum pricing work?

Rossum prices on two variables it names openly in its own FAQ: the volume of pages or documents you process, and the complexity of your workflows. Seats are not one of them, and the Starter plan explicitly includes unlimited seats. To size your volume, Rossum tells you to assess the average number of pages your team processes monthly for your chosen document types. If you exceed the plan limit, you can upgrade to a higher volume plan or pay per additional page, though that per page overage rate is not published.

What is Rossum Aurora?

Aurora is the name Rossum gives its own document AI, and it is included from the Starter tier upward. Rossum states that its models are built completely in house on millions of richly annotated documents rather than calling a third party model, which is the basis of its claim that document data does not leak to an external provider. The platform holds ISO 27001, SOC 2, HIPAA and TX-RAMP, and applies DMARC checks and configurable filtering to the email ingestion channel.

What the Coupa acquisition changes for a Rossum buyer

Rossum announced on its own site that Coupa, the spend management platform, has acquired it. For anyone in an active evaluation that is a real procurement input, not trivia. If you already run Coupa, a Rossum quote now sits inside a vendor relationship you have, which is usually leverage. If you deliberately run a different procure to pay stack, ask directly how the roadmap, the SAP and Oracle integrations and the standalone pricing are expected to change over your contract term, and get the answer in the contract rather than on a call.

Single sign on is listed as an Enterprise addition, alongside a sandbox environment, document translation, extended master data matching, preferred cloud location and custom branding. If your security policy requires SSO, the two lower tiers are not options regardless of your document volume.

Coupa. Rossum announces on its own site that Coupa, the spend management platform, has acquired it to accelerate end to end autonomous spend management. If you are mid evaluation, ask how the acquisition affects the roadmap, the non Coupa ERP integrations and standalone pricing over your contract term, and get the answer written into the agreement.

Usually not on price. At the published $18,000 floor a team processing 500 documents a month is paying about $3.00 per document, and roughly $1.50 at 1,000 a month. Rossum only reaches a competitive cost per document somewhere above 10,000 documents a month, which is the volume its customs, order management and high volume AP customers run.

For receipts and supplier invoices specifically, per document tools publish rates without a minimum term. Veryfi charges $0.08 a receipt and $0.16 an invoice behind a $500 monthly minimum. ReceiptOCR starts at $49 a month with no annual commitment. Both return named fields and line items rather than a validation program you have to configure first.
