Why QuickBooks Users End Up Pricing Dext

Nobody searches Dext vs QuickBooks because they want to replace their ledger. They search it because Receipt Capture stopped keeping up, usually for one of four reasons. Each one points to a different answer, and only one of them actually needs Dext.

Dext vs QuickBooks, which one do you need?

If you run QuickBooks Online and capture receipts one at a time as you spend, you do not need Dext, because Receipt Capture is already included on every plan. Dext earns its $302.50 a year when a bookkeeper needs supplier rules, auto publishing and line items across many documents, or when the company file lives in QuickBooks Desktop. If the real problem is a backlog of scanned receipts that needs to become data, a per page extractor is cheaper than both.

The two products are not rivals in the usual sense. QuickBooks is the ledger. Dext is a pre accounting layer that reads documents and pushes finished transactions into the ledger. The question is always whether that layer is worth paying for given what QuickBooks already does on its own.

Read the Desktop column carefully. Dext help for the QuickBooks Desktop connection lists auto publish, bank match and secondary tax extraction as not supported, and requires Pro, Premier, Accountant or Enterprise, version 2018 or later. That is still a real improvement over typing receipts into Desktop by hand, but it is not the hands off experience Dext advertises for QuickBooks Online.

Dext QuickBooks integration, how it actually connects

For QuickBooks Online, Dext connects from its business settings and syncs your chart of accounts, suppliers, customers, classes and locations, so each extracted item can be coded before it is published. Supplier rules then remember how a vendor should be coded and can publish new items automatically. That rules engine is the main thing a QuickBooks Online user buys when they add Dext.

For QuickBooks Desktop, the Dext Connect App is a Windows program that has to run on the same computer or server as the company file, with QuickBooks open and no other company file open during setup. It syncs suppliers, categories, customers, classes, products and services, bank accounts and tax rates. Mac Desktop users and firms on hosted QuickBooks they cannot install software on should check that requirement first.

Those totals are our arithmetic on list prices: QuickBooks Online at $38, $85 and $140 a month before any promotional discount, Dext Business at $302.50 billed annually, and a 50 document line item bundle at $20.50 a month on annual billing. Dext adds between 33 and 66 percent to the software bill at these sizes. For a solo owner on Simple Start it is the largest share, and that is exactly the buyer who usually needs it least.

When Dext is worth it with QuickBooks

  • You are a bookkeeper with many clients and supplier rules save you coding the same vendors every month. Dext practice plans exist for this and are quoted per client with a 10 client minimum.
  • You need line items on a steady flow of supplier invoices and want them published straight into QuickBooks Online without an import step.
  • You also want bank and supplier statement extraction in the same tool, which Dext sells as further add ons.

When QuickBooks alone is enough

  • You snap receipts on the phone as you spend and fewer than about 100 arrive each month.
  • A total per receipt is all your accountant asks for.
  • You are the only person who touches the books, so a 5 user plan buys seats nobody fills.

Where neither fits, the backlog

The third situation is the one that sends most people to this comparison: a box or a folder of receipts from the last six or twelve months that never got entered. Receipt Capture wants them one per file. Dext would process them, but a year of backlog can run past the 250 document monthly allowance and every line item beyond 5 documents is billed. For that job, one month of bulk receipt scanning on Starter covers 2,500 pages for $49, and the export goes into QuickBooks through the normal import.
