Fyle Pricing: Sage Expense Management Cost per Active User

Fyle now sells as Sage Expense Management. Growth costs $11.99 per active user a month on annual billing or $14.99 month to month, with a 5 user minimum, so the lowest bill is about $60 a month. Business is $14.99 yearly or $17.99 monthly with a 10 user minimum. Enterprise is quoted for 250 or more employees. Receipt scanning is unlimited on every plan, but there is no free plan and no self serve trial.

Why the Fyle Per User Price Is Not Your Monthly Bill

The per user figure on the Fyle pricing page is easy to read and easy to misjudge. Two rules move the real number: the minimum user count on each plan and the definition of an active user. Add the rebrand to Sage Expense Management and the stale prices that still circulate on review sites, and it is worth doing the arithmetic before a demo call.

Growth Bills a Minimum of 5 Users

Growth is $11.99 per active user a month on annual billing, but the pricing page sets minimum billing at 5 users. A two person business still pays for five, which puts the floor at $59.95 a month yearly or $74.95 month to month. Business raises the minimum to 10 users, a floor of $149.90 a month yearly.

Active User Means One Expense or One Card Transaction

Fyle only charges for users who create at least one expense in a month or have a connected corporate card with at least one transaction. That is genuinely useful for seasonal staff. It also means a cardholder who never submits a receipt still counts as active the moment the card feed brings in a charge.

Monthly Billing Costs 25 Percent More

Growth is $14.99 per user month to month against $11.99 yearly, and Business is $17.99 against $14.99. Over a year at the minimum user count, monthly Growth costs $899 against $719 paid annually, which is $180 for the right to cancel.

Several Integrations Cost Extra

QuickBooks Online, Xero and Sage 50 (beta) are included. QuickBooks Desktop is marked at extra cost on every plan. Sage Intacct and Sage 300 CRE sit on Business with a one time implementation fee, and the page says pricing differs for existing Sage Intacct customers.

The Fyle Name Is Going Away

The pricing page is titled Sage Expense Management (formerly Fyle) and every plan description now carries the Sage name. Review directories still list the product as Fyle, and at least one quotes a $4 to $10 per user range that does not appear anywhere on the vendor page.

No Free Plan and No Self Serve Trial

Every plan button on the pricing page reads Get a Demo or Contact us. The FAQ confirms there is no free plan, and the page does not list a trial length. If you want to test receipt extraction on your own files before talking to sales, you will need a tool that lets you upload first.

Fyle Pricing Plans and What Each One Includes

Three plans, all priced per active user, all with unlimited expense reports and unlimited receipt scanning. The differences are approvals, reimbursements, integrations and support.

Growth: $11.99 Yearly or $14.99 Monthly, 5 User Minimum

Unlimited receipt scanning with automated data extraction, receipt collection by text message, Gmail and Outlook capture, mileage and per diem, real time Visa, Mastercard and American Express feeds, single stage approvals, policy checks, and two way QuickBooks Online and Xero sync. Support is email and knowledge base, with premium live chat as a paid option.

Business: $14.99 Yearly or $17.99 Monthly, 10 User Minimum

Everything in Growth plus multi org, multi stage and policy driven approvals, ACH reimbursements in the US, project expense tracking, custom data exports, multi currency and multi entity setup, Sage Intacct and Sage 300 CRE integrations with a one time implementation fee, premium support with a named account manager, and SSO as a paid add on.

Enterprise: Custom Pricing for 250 or More Employees

Everything in Business plus IP whitelisting for admin accounts, Google, AD and Okta single sign on included, branded account and emails, a dedicated enterprise account manager, half yearly business reviews and a customer advisory group with early access to features.

Receipt Capture Is Unlimited on Every Plan

Unlike Zoho Expense, which meters autoscans per user, or the free Expensify plans, which stop at 25 receipts a month, the Fyle pricing page lists unlimited receipt scanning on Growth, Business and Enterprise. The meter here is people, not documents.

Accounting Integrations by Plan

QuickBooks Online, Xero and Sage 50 (beta) come with every plan. QuickBooks Desktop is an extra cost on all three. Sage Intacct and Sage 300 CRE start on Business and carry an implementation fee. Business also lists direct, third party and API integrations with accounting, travel, HRMS and payroll software.

Compliance and Discounts

The vendor lists SOC 2 Type 1 and Type 2, GDPR and PCI DSS compliance. Implementation support is available for a one time fee through a dedicated account manager. Nonprofits and educational institutions can ask for a discount, and existing Sage Intacct customers are told to contact their Sage account manager for different pricing.

How to Work Out Your Fyle Cost in Four Steps

The pricing page gives you the rate. These steps turn it into the number that will appear on the invoice.

1

Count People Who Will Be Active, Then Apply the Minimum

List everyone who submits at least one expense in a typical month or carries a company card with any activity. If that is fewer than 5 on Growth or 10 on Business, you pay the minimum anyway, so a 3 person team should budget for 5 seats.

2

Decide Whether You Need Business Features

The reasons to step up are ACH reimbursements, multi stage approvals, project tracking, multiple entities, and the Sage Intacct or Sage 300 CRE connectors. If you only need capture, card matching and a QuickBooks Online sync, Growth covers it.

3

Add the Extras That Apply to You

QuickBooks Desktop sync, premium support on Growth, SSO on Business, and the one time implementation fee for the Sage ERP connectors are all priced outside the per user rate. Ask for each of them in writing before the demo ends.

4

Compare Against a Per Page Tool for the Receipt Work

If the actual job is turning receipts and supplier invoices into a spreadsheet or QuickBooks entries, a per page tool with no seat minimum is usually cheaper. Our Starter plan is $49 a month for 2,500 pages with line items, and it does not care how many people upload.

Fyle Pricing Tables and Cost Per Receipt

Plan prices, minimums and the active user rule come from the Sage Expense Management pricing page and its structured data. The floor prices and cost per receipt figures are our own arithmetic from those published numbers, shown in full so you can check them.

Small Teams Under 5 People

Your bill is the 5 user minimum whatever your headcount: $59.95 a month yearly or $74.95 monthly on Growth. Decide whether card feeds and approvals are worth that, or whether you only need the receipts extracted.

Businesses Sizing Growth Against Business

At 10 active users the difference is $119.90 against $149.90 a month yearly. You are paying $30 a month for ACH reimbursements, multi stage approvals and project tracking.

Bookkeepers Pricing a Client

Fyle runs an accounting firm partner program, but each client still needs its own seats and minimums. For clients who just need receipts coded and exported, a pooled page allowance is easier to resell.

Teams With a Backlog of Scanned Receipts

Fyle is built to catch expenses as they happen. If the receipts are already sitting in a folder or an inbox export, batch extraction to Excel is the job, and per page pricing usually wins.

Fyle plans and prices

This is the full Sage Expense Management rate card as shown on the Fyle pricing page, in US dollars, with the minimum billing rule applied to give the lowest possible monthly bill on each plan.

The page marks the annual rate as the default view and the structured data on the page confirms both figures for each plan: $11.99 yearly and $14.99 monthly on Growth, $14.99 yearly and $17.99 monthly on Business. An active user is anyone who creates at least one expense in the month or has a connected corporate card with at least one transaction.

Fyle cost per receipt

Because Fyle meters people rather than documents, the price per receipt falls as each user submits more. Divide the lowest monthly bill on each plan by the receipts the whole team actually files. This is our arithmetic, not a vendor figure.

Plan and billingMonthly billAt 100 receiptsAt 500 receiptsAt 2,500 receipts
Fyle Growth, 5 users, yearly$59.95$0.60$0.12$0.024
Fyle Growth, 5 users, monthly$74.95$0.75$0.15$0.030
Fyle Business, 10 users, yearly$149.90$1.50$0.30$0.060
ReceiptOCR Starter, monthly$49$0.49$0.098$0.0196
ReceiptOCR Starter, yearly$24$0.24$0.048$0.0096
ReceiptOCR Plus, monthly$149$1.49$0.298$0.0596

Our Starter plan covers 2,500 pages a month on the faster model or 500 on the higher accuracy model, and Plus covers 10,000 and 2,000, so the 2,500 column assumes one page receipts on the faster model. A five person team filing 100 receipts a month pays about 60 cents a receipt on Fyle Growth and gets card feeds and approvals for it. The same team paying $24 a month yearly on our Starter plan pays 24 cents and gets line item extraction and a spreadsheet.

Fyle against ReceiptOCR, honestly

These two products only overlap on the extraction step. Fyle is an expense management platform with card feeds, approvals and reimbursements. We turn receipts and invoices into structured data. Pick based on which job you are actually paying for.

If you need employees to snap receipts, match them to card charges and get reimbursed by ACH, Fyle is doing work we do not do, and its unlimited scanning is a real advantage over per scan quotas. If the job is getting a pile of receipts or supplier invoices into a spreadsheet or QuickBooks with line items, and you do not want to pay for five seats to do it, our bulk receipt scanner handles a whole batch in one upload. Teams booking straight into QuickBooks can use the QuickBooks receipt scanner route. To see how Fyle sits against the other per user platforms, our Expensify pricing and Zoho Expense pricing pages use the same arithmetic, and the expense management software pricing guide compares the whole field.

Fyle Pricing: Frequently Asked Questions

Fyle, now sold as Sage Expense Management, costs $11.99 per active user a month on the Growth plan and $14.99 on Business when billed annually. Month to month the rates are $14.99 and $17.99. Growth bills a minimum of 5 users and Business a minimum of 10, so the lowest possible bill is $59.95 a month on annual Growth. Enterprise pricing is custom for companies with 250 or more employees.

Yes. The vendor pricing page is titled Sage Expense Management (formerly Fyle) and every plan description now uses the Sage name. The product, plans and integrations are the same. Review sites and older articles still call it Fyle, and some still quote per user prices that no longer appear on the vendor page.

No. The Fyle pricing FAQ states that there is no free plan, and every plan button reads Get a Demo or Contact us rather than start a trial. The page does not list a self serve trial period. If you want to test extraction on your own receipts before talking to sales, you will need a tool that lets you upload first.

An active user is anyone who creates at least one expense in a month or has a corporate card connected to the platform with at least one transaction in that month. You can onboard every employee, but you are only charged for the ones who meet that rule, subject to the 5 user minimum on Growth and 10 on Business.

No. The pricing page lists unlimited receipt scanning with automated data extraction and unlimited expenses and reports on every plan. The only meter is active users. That makes Fyle different from Zoho Expense, which caps autoscans per user per month, and from the free Expensify plans, which stop at 25 SmartScans a month.

Business adds multi org, multi stage and policy driven approvals, ACH reimbursements in the US, project expense tracking, custom data exports, multi currency and multi entity setup, the Sage Intacct and Sage 300 CRE connectors, premium support with a named account manager and SSO as a paid option. It costs $3 more per user a month and doubles the minimum to 10 users.

Yes. Two way QuickBooks Online sync is included on every plan alongside Xero and Sage 50 (beta). QuickBooks Desktop is supported but marked at extra cost on Growth, Business and Enterprise. Sage Intacct and Sage 300 CRE are Business plan integrations with a one time implementation fee.

The pricing page lists a one time implementation fee for dedicated onboarding, additional fees for setting up certain accounting integrations, an extra cost for QuickBooks Desktop, an additional fee for SSO on Business and for premium live chat support on Growth. Existing Sage Intacct customers are told their pricing may differ.

If you mainly need receipts and invoices turned into a spreadsheet or QuickBooks entries rather than a card and reimbursement workflow, a per page tool without a seat minimum is usually cheaper. ReceiptOCR Starter is $49 a month billed monthly or $24 billed yearly for 2,500 pages with line items and Excel, CSV or QuickBooks export, with no per user pricing.
