Receipt Collection App for Collecting Receipts From Your Team and Clients

Everyone who spends money sends receipts into one shared workspace from a phone browser, and the AI turns each one into a row with merchant, date, tax and total. On Plus you invite as many people as you need with no seat charge, then export a single Excel, CSV or QuickBooks file.

Accepts PDF, JPG, PNG, BMP, HEIC and TIFF

Collecting Receipts Breaks Down Long Before Anyone Types Them In

The scanning step is rarely the slow part. The slow part is getting the paper out of five wallets, three glove boxes and a client inbox, then working out which receipt is which before the books can close.

Receipts Live in Other People's Pockets

A field tech, a sales rep and an office manager each hold a week of thermal paper. By month end some of it has faded and some of it is gone.

Per User Pricing Punishes the Occasional Spender

Expense apps bill every member every month. A crew lead who submits four receipts a month costs the same seat fee as your heaviest traveler.

Email Threads Are Not a System

Receipts forwarded by email arrive as screenshots, multi receipt PDFs and phone photos in HEIC format. Somebody still has to open each one and retype it.

Client Shoeboxes Arrive at Tax Time

Bookkeepers get a year of receipts in one bag or one zip file in March, which turns a steady job into a two week crunch.

One Workspace That Collects Receipts and Hands Back Rows

ReceiptOCR is the collection point and the extraction step in one place. People upload what they have, the AI reads it, and you download clean data instead of a folder of images.

Invite Your Whole Team on Plus

Plus includes a shared workspace. Invite staff by email and everyone uploads into the same page pool. There is no limit on people and no charge per person.

Upload From Any Phone Browser

Nothing to install. Staff open the site on their phone, snap the receipt and upload. iPhone HEIC photos, JPG, PNG, TIFF and PDF files are all accepted.

Batches of 50 Files at Once

A bookkeeper with a client zip uploads up to 50 files in one go, and a single scanned PDF holding several receipts is split into separate records.

Line Items and Sales Tax as Columns

Each receipt returns merchant, date, subtotal, sales tax, tip, total and payment method, plus line items with quantity and price when the receipt shows them.

Excel, CSV, QuickBooks and Xero

Export one spreadsheet for the whole period, a QuickBooks ready file, or a Xero file. Pro adds API access if you want receipts flowing in from your own system.

Priced by Pages Processed

Starter is $49 a month for 2,500 pages. Plus is $149 a month, or $74 a month billed yearly, for 10,000 pages with the team workspace included.

How to Collect Receipts From a Team in Four Steps

The setup takes a few minutes, and after that the monthly routine is a download, not a chase.

1

Create the Workspace

Sign up, pick Plus, and open the Team page. The shared workspace is created the first time you invite someone.

2

Invite Everyone Who Spends

Enter each person's work email. They get an invitation link, accept it, and from then on every upload counts against your shared page pool.

3

Ask for Receipts Weekly, Not Monthly

A Friday reminder to upload the week's receipts beats a month end deadline. Thermal paper fades, and five receipts are easier to remember than forty.

4

Review and Export

Check the extracted fields on screen, fix anything that looks off, and export the period as Excel, CSV or a QuickBooks file for your books.

Who Uses a Receipt Collection App and What It Costs

Competitor prices below come from each vendor's own pricing page. The team cost figures are our arithmetic from those published numbers.

Field Service and Construction Crews

Fuel, materials and parts receipts from people who are never at a desk. A phone upload at the truck replaces a crumpled envelope at month end.

Bookkeepers Collecting From Clients

Clients drop files in a shared folder and you batch upload them, so one subscription covers every client instead of one seat per client.

Small Businesses With a Few Card Holders

Five to twenty people with company cards and no appetite for a full expense platform with approval chains they will never configure.

Finance Teams With Seasonal Volume

A page based plan absorbs the year end spike without adding seats for temporary staff who only help for a few weeks.

A receipt collection app gathers receipts from everyone who spends money into one place and turns them into data your books can use. The question that decides cost is whether the app bills per person or per document. For a team where most people submit only a handful of receipts a month, page based pricing is usually far cheaper than paying a seat for every card holder.

What a receipt collection app has to do

Most buyers start by comparing scanning accuracy, but accuracy is table stakes now. The tools that actually save time do four jobs well. They take receipts in whatever form people have them, they keep everyone's uploads in one place, they turn each receipt into structured fields, and they hand the result to your accounting system without a retyping step. If a tool misses any one of the four, somebody on your team ends up doing that part by hand every month.

The form question matters more than people expect. In a typical small business month you will see crumpled thermal paper, iPhone photos saved as HEIC, hotel folios as PDFs, screenshots of online orders and, at tax time, a scanned PDF with twenty receipts on twelve pages. An app that only handles one clean photo per upload pushes the sorting work back onto you.

Receipt collection app pricing compared

These are the published entry prices for apps buyers commonly shortlist when the job is collecting receipts from more than one person. Read the pricing model column first, because it decides how the bill grows.

What collecting receipts costs as the team grows

Here is the yearly cost by team size, using each vendor's published rate. This is our arithmetic, and it assumes the team stays inside 10,000 pages a month on our side, which is several thousand receipts.

People submittingExpensify CollectForeceipt Business, yearlyABUKAI Standard Corporate, first yearReceiptOCR Plus, yearly
5$300$360$544$888
15$900$1,080$1,534$888
25$1,500$1,800$2,524$888
50$3,000$3,600$4,999$888

Under about fifteen people, a per member app such as Expensify Collect is the cheaper buy, and it includes approvals and reimbursement that we do not offer. Past that point the seat fees overtake a flat page based plan, and the gap widens with every hire. If you only need receipts turned into rows for your books, and not a reimbursement workflow, the page based model is the one that scales.

Collecting receipts from clients as a bookkeeper

Inviting clients into your workspace is the wrong move, because everyone in a shared workspace sees the same reports. For client work, the routine that holds up is simpler. Give each client a shared folder in Google Drive, Dropbox or OneDrive, ask them to drop photos and PDFs in weekly, and batch upload each client's folder yourself, up to 50 files at a time. You keep one subscription for the practice instead of a seat per client, and each client's period exports to its own spreadsheet or QuickBooks file. Our receipt scanner for accountants page covers the client workflow in more depth, and the bulk receipt scanner handles the year end shoebox.

Collecting receipts from employees

For staff, the shared workspace is the right tool. Invite each person once, ask for uploads every Friday, and export the month for your books. If you reimburse employees, keep the reimbursement in your payroll or accounting system and use the export as the support. Our receipt scanner for employees page explains how to keep those submissions inside the IRS accountable plan window, and the QuickBooks receipt capture page covers getting the rows into QuickBooks Online when Intuit's own capture will not read a multi receipt file.

Receipt Collection App Questions

It depends on what happens after collection. If you need approvals, corporate cards and reimbursement, an expense platform such as Expensify or Ramp fits. If you need receipts from many people turned into rows for your books, a page priced tool such as ReceiptOCR Plus costs less once more than about fifteen people submit.

Yes. Expense apps such as Expensify, Sage Expense Management and Zoho Expense collect employee receipts with a per user fee. ReceiptOCR Plus collects them in a shared workspace with no seat charge: employees upload photos or PDFs from a phone browser, and you export one spreadsheet or QuickBooks file for the period.

Invite every employee who spends company money to one shared workspace, ask for uploads weekly rather than at month end, and export the period for your books. Weekly collection matters because thermal receipts fade and people forget small purchases. Keep the reimbursement itself in your payroll or accounting system.

Most use a shared cloud folder per client in Google Drive, Dropbox or OneDrive, then batch process the folder on a schedule. With ReceiptOCR you upload up to 50 files at a time per client and export each client to its own spreadsheet or QuickBooks file, under one subscription for the whole practice.

Most do. Expensify Collect is $5 per member per month, Sage Expense Management lists a 5 user minimum, Foreceipt Business adds $72 per member per year past two, and ABUKAI Standard Corporate is $99 per user per year. ReceiptOCR is priced by pages processed, with no per seat charge on the Plus workspace.

Yes. There is nothing to install. Employees open the site in their phone browser, take a photo or pick one from the camera roll, and upload. iPhone HEIC photos are accepted along with JPG, PNG, TIFF and PDF files up to 50 MB each.

Yes. A scanned PDF holding several receipts is split into separate records, each with its own merchant, date, tax and total. That is the format clients usually send at tax time, and it is the format many phone based receipt apps reject because they expect one receipt per file.

Yes. Every paid plan exports a QuickBooks ready file alongside Excel and CSV, and Xero export is available too. Line items, sales tax and totals come through as separate columns, so you map them once and reuse the mapping every month.

At published rates, 20 people cost $1,200 a year on Expensify Collect, $1,440 a year on Foreceipt Business billed yearly and $2,029 in the first year on ABUKAI Standard Corporate. ReceiptOCR Plus is $888 a year for the whole team, as long as you stay within 10,000 pages a month.
